Simply Wigs

We delivered a bespoke e-commerce website for Simply Wigs. Built on Shopware, the new website features a bespoke design and order management & processing system - managing PO creation, returns and partial orders. Our solution seamlessly integrates with Xero for accounting, ShipStation for logistics and reviews.io to manage customer feedback.

Project Overview

Five years ago, Simply Wigs approached us to support and maintain a newly launched website built on the Magento 1 platform. At the time, Magento 1 was already at the end of its lifecycle, which meant the website would need close monitoring and regular updates to keep it secure and stable.

Over the course of five years, we provided ongoing support and gained a deep understanding of Simply Wigs' business operations beyond their website, allowing us to identify opportunities where we could streamline and automate existing time-consuming, manual processes. 

Recognising the risky position Simply Wigs were in, and the growing needs of the business, we proposed replatforming onto a more suitable platform (Shopware). 

As part of the re-platforming, we implemented systems to streamline tasks such as purchase order creation, bulk product updates, and colour management, significantly improving operational efficiency.

We used this opportunity to review the front-end website. Through the method of user testing, we identified where improvements could be made and began redesigning the site to enhance the search and browsing functionality, improve product filtering and restructure the product detail pages - ultimately aiming to create a better shopping experience for customers.

This case study details our approach to delivering a modern, efficient e-commerce platform that supports Simply Wigs' growing business needs and offers its customers an enhanced online experience.

Our Approach

Project Discovery

Our approach to delivering a new website for Simply Wigs was centred around having a thorough understanding of their needs and, together, uncovering the real issues they faced. By continually asking "Why?" we ensure we fully understand the problems we're solving, allowing us to address underlying issues rather than just ‘what appears to be the issue’.

Research and information gathering are essential parts of our process. We use various data sources to understand the opportunities available, including:

  • Side-by-side observation: We visited the Simply Wigs office and spent time with team members to observe their daily interactions with the system. This gave us firsthand insight into the challenges they face and highlighted areas where improvements could be made.
  • User Testing: Observing real users interacting with the current website and those of competitors to identify behaviours, barriers, and issues.
  • Analytics: Analysing website performance data to understand user behaviour and identify areas for improvement.
  • Screen Recordings: Reviewing recordings of user sessions to gain insights into user interactions and pain points.
  • Competitor Analysis: Studying competitor websites to benchmark performance and identify best practices.
  • Technical Audit: We completed a technical audit of the existing platform, which revealed several critical issues. To avoid encountering similar problems in the future, it was crucial to thoroughly understand the technical requirements and select the right platform from the outset.

This extensive research phase provides valuable insights that inform our design solution and technical recommendations.

What we identified

The Problem The Solution
Finding the ‘perfect wig’ proved difficult. Searching and browsing the vast amount of products was challenging. The menu structure was complex and whilst the search facility was often overlooked by users, those who engaged with it commented how poor it was. Our solution was to simplify the menu and category structure and focus the main navigation on key categories. Additionally, we introduced a new way of browsing wigs by length, using icons as ‘shortcuts’ to products categorised by length - browsing products by length was an action observed by all users.

The Search function was also relocated and enhanced to return more accurate results.
Users were looking for the same product details. Once a user had found a product, they were all looking for the same key pieces of information and visuals. However, the product pages provided no hierarchy of information, resulting is users having to ‘go searching’. We restructure the product pages inline with the content hierarchy, prioritising the information we know is important to users. Focusing on the product gallery and the ‘buy area’, we ensured that key details are immediately visible, reducing the need for users to go ‘searching’ for what they’re looking for.

Key improvements include:
- Add labels to the gallery images for the colour is being worn by the model
- Position the 360 view and customer photos front and centre
- Have delivery, returns and price match information easily accessible.
Order management & processing were messy. Business processors were wrapped around an endless amount of spreadsheets and manual processes. With teams of staff spending hours a day ‘copying & pasting’ between different spreadsheets. We built a custom order processing and management system into the admin of the new site. This allowed us to automate over 90% of the existing manual processes, streamlining operations and removing the risk of human error.

The Project Goals

Establishing clear goals is essential in any project, as it guides decision-making and keeps the team focused on desired outcomes.

The primary goals we established for redesigning and replatforming Simply Wigs were:

By focusing on these objectives, we were able to create a targeted strategy that addressed Simply Wig’s specific needs and set the stage for success.

User Test –> Prototype –> Design

When approaching the redesign of the website, we do not rely on the subjective opinions of our designers but on a proven method of user testing to explore ideas, rule out others and find the best solutions to our challenges. This process provides us with valuable insights that inform our design solutions, and through a continuous cycle of testing, designing, and retesting, we optimise our designs to ensure the user experience is seamless and as efficient as possible. 

This systematic approach removes the guesswork and allows us to deliver a website that has been tested with real users, proven to perform, and fully expected to outperform alternative solutions.

Technical Solution

Selecting the right platform was essential for the project's success. We required a solution that could deliver both strong content management features for the marketing team and a robust, adaptable e-commerce system. Meeting both of these needs proved challenging, but Shopware ultimately stood out as the perfect fit.

Shopware met our criteria by offering:

  • Comprehensive Content and Product Management: The platform excels in managing both marketing content and product information. This ensures the Simply Wigs team have the tools and flexibility they need.
  • Flexibility and Scalability: Shopware's flexibility ensures that it can adapt as needs change, while its scalability offers a dependable foundation for growth over the next 5–7 years.
  • Easy Updates: The platform allows for straightforward updates as new versions are released, ensuring that Simply Wigs remains on supported versions and benefits from the latest features and security improvements.
  • Third-Party Integrations: Shopware supports seamless integration with key third-party systems, such as Xero for accounting, Reviews.io for customer feedback and Ship Station for logistics.

By choosing Shopware, we ensured that Simply Wig’s new website would be built on a platform that not only meets their current requirements but also offers a solid foundation for future growth.

The Challenges

One of the key challenges we faced was migrating the vast amounts of data from the old website built on Magento 1, to our new chosen platform, Shopware. With no off-the-shelf solution available, we needed to build our own migration tool. This had to migrate:

  • Product data: We had over 2,000 products with over 40,000 variations. Each product had a vast amount of data, such as: Colour variation, Product, 360 and Customer images, Videos, Review, Prices, FAQs and product detail descriptions.
  • Customer data: All customer data needed to be moved across to the new platform. This included all historic customer notes, orders and account information.
  • Order data: We have over 167,000 historic orders to migrate.

With no pre-existing solution to migrate the data from Magento 1 to Shopware, this was a huge task. Give the nature of the project, we needed a solution that would allow us to ‘run’ the migration when needed and in a timely manner - knowing we would need to run the migration several times for testing and on the day of launch.

To address this, we developed a custom script specifically designed to handle the data migration. This script ensured a smooth and accurate transfer of product, customer and order data from the old system to Shopware. By building our own migration tool, it allowed us to have full control and limit the risk that a 3rd party solution could introduce.

Another challenge we faced was helping Simply Wig’s move away from using a multitude of spreadsheets to manage their order processing. A process that has ‘got out of hand’ over the years. What started as a simple spreadsheet transitioned into 10+, needing a team of staff to manually manage these day-to-day.

Over the last five years, we have spent a lot of time supporting the Simply Wig’s team, spending time in their office and taking the time to really understand how they work. This has allowed us to build a custom solution to move away from spreadsheets, onto a backend system that centralised customer and order data, allowing for processes to be automated, where previously a lot of data would be manually copied between spreadsheets.

The Results

After launching the new website, we achieved great success across several key metrics. These figures were taken 6 months after launch:

Reporting

Ensuring clear data visibility was a high priority. Previously, reporting was limited, and essential information was often unavailable, which led to less-informed decision-making. Our goal was to improve data accessibility by implementing a real-time reporting solution with Power BI. By designing a customised report to track key performance indicators (KPIs), we enabled Simply Wigs to gain a comprehensive view of their most critical data points.

We established triggers that notify Simply Wigs when specific targets are reached or when performance falls below expected levels. These alerts may flag trends such as increased returns for a particular product or brand, or a decline in international orders.

The report covers a broad spectrum of data, including:

  • orders
  • revenue
  • returns
  • international sales
  • product profitability
  • Popular products and brands

Project Summary

At the time of writing this case study, we are six months post-launch, and we feel good knowing the project was a great success. We have delivered a vastly improved website that is focused on the customer's needs, and as a result, increased online sales and revenue by 15%. We have helped Simply Wigs move away from a hectic spreadsheet order management process to a custom-built solution that has helped reduce manual processing significantly. Along with providing better insights into key data, Simply Wigs now has the systems and processes in place to grow revenue without the need to expand the team.
